PROGRAM COMMITTEE DUTIES

1. ROOM RENTAL If the program is to be held at a rented location, check with the Officers to reserve the room. The Program Chairman will notify the Treasurer, who will then pay the required deposit.



2. SECURE THE DATE WITH YOUR SPEAKER OR GARDEN OWNER and follow up with a letter of confirmation.

      Note:  For any speaker or program costing $100 or more, approval must be given by the Officers before obligating the Club to said cost. 
      One month prior to your event, make a phone call or send an email reminder to the speaker.  Inquire what type of set-up they will need.  For a garden tour, if it is a public garden, arrange for a docent, check to see if there are any charges for a tour guide and inquire about adequate parking. Plan for sufficient travel time to arrive on time.

       

       

      3. IF THE EVENT IS OPEN to the public, coordinate with Publicity Chairman to provide a short news release to be posted in the Crab Cracker four weeks in advance.

       

      4. FOR CARPOOL OR BUS TRIPS make certain you confirm the time and place of departure. Typically, trips leave from Terry’s Corner Park & Ride.

      PROVIDE MAPS and directions to carpool drivers.

      A $5 donation is suggested from each person carpooling to be given to the driver to compensate for gas expense. 

       

      5. ANNOUNCE ANY AND ALL FEES or conditions relating to the garden tour or bus trip. Charter fees must be approved by the Officers before booking.  Arrange for payment with Treasurer prior to departure.  When arranging a bus tour, provide a sign-up sheet at the Garden Club meeting two months prior to the date.  Checks for a bus trip must accompany each member’s reservation.  A limit to the number of guests is often set by the garden visited or by the number of seats on the bus.  Provide an envelope for tips for the bus driver, if applicable.

      Refunds are given only if another person fills the space reserved.
